About the job

The Admin Intern is responsible for supporting the delivery of efficient and effective administrative support to the Country office, the Guest House. She is responsible for Overseen all aspects of administrative support at DRC country office, ensuring efficient operations and procedures.

Your main duties and responsibilities will be:

Facilities Office management and Administrative support
 

  • Oversee all aspects of country office maintenance and cleanliness.
  • Ensure availability of water in the offices by monitoring the water dispensers in the office
  • Ensure office supplies are in place, coordinate with and request to be made in good time.
  • Booking in house – Office Conference Rooms upon requestors’ emails’ receipt. Communicating with requestors.
  • Photocopying/ Scanning all the payments and Documents when requested.
  • Support the HR department with filling and archiving.
  • Any other duties as requested by Manager.

Guesthouse management:

  • Oversee all aspects of upkeep and cleanliness at the guesthouse.
  • Ensure guesthouse stocks and supplies are in place, and monitor their utilization.

Experiences and Qualifications

About you

To be successful in this role we expect you to have:

Required

  • At least 6 months experience in administration, in an international NGO in a similar role at mid-management level.
  • Degree in relevant field; Business Administration, International development/relations, communication
  • Experience and highly proficient in Microsoft Office programs: Word, Excel, Outlook.
  • Demonstrated ability to manage processes and maintain accurate records.
  • Ability to write in a clear and concise manner and to communicate effectively orally.
  • Strong interpersonal and organization skills coupled with ability to integrate and harmonize with diversified staff.
  • Excellent organization skills, able to multitask and prioritize with positive attitude, attention to details, accuracy, patience and persistence.
  • Flexible and ability to multi-task and prioritize large and diverse workload in fast paced environment with competing priorities, and ability to remain calm in demanding situations.
  • Ability to resolve problems quickly and effectively and recommend appropriate course of action in consultation with line manager.
  • Pleasant personality, flexible and outgoing.
  • Ability to work independently and to maintain flexibility in working hours.
  • Must have strong oral and written communication skills; must be a good listener. Regular use of phone and email for communication is essential

Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for

employees on national contract.
